What is SharePoint? It is more than just document storage and always was.
SharePoint is the backbone within M365 which delivers information to a diverse array of content delivery, data analysis and document management.
We create a team in MS Teams and we have a SharePoint site for our Files. So, we have given the control to the end user, not IT not SP developers or admins, but to you.
So as an end user when you create a team you get a SharePoint site by default so whatever you upload to or create in teams is viewable in teams in that team channel but stored in SharePoint.
Just a few of the considerations when you start thinking about your transition to SharePoint?
1. Planning/Reviewing/Testing/Documentation
2. Management buy-in
3. The technical/infrastructure
4. Governance/Security/Compliance
5. Intranet or Document repository
6. SharePoint site administration
7. Branding
8. Processes/Permissions
9. Performance/Maintenance
10. Content/Migration of legacy data
What is it for? Are you going to share information with partners, customers? Who does what and when and why? Are folders/files permissioned so you view but not edit, or not see at all?
How do you bulk migrate? Do you add tags (metadata) to say when the document will need revising/reviewing, e.g., for legal reasons?
In Microsoft terms we are talking about:
Portal navigational structure – How you structure your sites so that users can find content including the home site of your intranet.
· Hub structure and organization – How you group together similar topics, tasks, and content.
· Site and page architecture – How content is organized on each site and page so that users can further navigate or consume content effectively.
· Metadata architecture – How to structure and label your individual content items for browsing and searching as well as compliance and retention.
· Search experiences – How your users “consume” information architecture in addition to browsing.
I am used to the old classic view but the new modern view has many advantages, flexibility, maintenance and performance being three.
We are trainers who can develop, provide best practices and support. We have worked with many different organizations, trained admins and end users. Designed process maps and produced documentation for users.
